Service Agreement
Should I opt to get a service agreement? I would say yes to this question with only a few exceptions. A service agreement will cover all parts and service for as long as the agreement is in place. It is usually only a small percentage of the amount you are paying, or paid, for the equipment. An hourly rate for a service call is $200 on average. The few dollars a month will give you peace of mind and easily pay for itself if you ever encounter an issue. The exceptions would be if you, or someone that works with you, has experience as a postage meter technician. I understand some people are very handy individuals who are good at figuring out how to fix things. But why spend your time fitting a sponge to your sealer or trying to figure out how and why that stupid label is stuck inside your machine. I would take a guess that there is little chance that servicing equipment is your core business. If you have the service agreement you make a phone call and go back to what you do that makes you money. Signing an Agreement June 11, 2021 Postage Meter Why do I have to sign an agreement for a postage meter? That is the million-dollar question. I do not have a great answer other than, that is just the way it is. Some manufacturers will give you an introductory few months free to get started, but they require a minimum of a 12-month contract. The hope, of course, is that once you have it and use it for a year then you will realize how valuable it is for your business. Is that always true? No, but it probably is in most cases. Calculating ROI on Postage Meter Investment June 11, 2021 Postage Meter How do I calculate my ROI or cost justify a postage meter investment? I believe this answer to be challenging. You need to know if you plan on sending letters, oversized envelopes, parcels, or any combination of the 3. If you only mail letters under 1 oz. in weight, this is easier. Currently we receive a $0.04 discount on metered first-class mail. If we calculate, how many envelopes we need to mail to fulfill a $20.00 mailing, it would be 500. If you are only mailing a few checks or invoices a month then, though it pains me to say this, go to the post office and use one of their vending machines, to buy 100 forever stamps at a time and you will be good to go. (I say to use a vending machine to encourage you to avoid the clerks whenever possible. If you trust me on this, I believe this will reduce stress and add precious years to the end of your life). If you are mailing large envelopes or packages this gets even easier in my opinion. If you are going to the post office and standing in line, then I would highly recommend a postage meter for your business. Aside from the postage savings for metered mail, you should consider your time or the time of your employees. Driving to the post office and waiting in line is very time consuming and aggravating. If you place any value on the time of an employee waiting in a line, then this is an easier decision. Purchase vs. Lease June 11, 2021 Postage Meter Should I purchase or lease my mailing machine? I have very strong opinions on this topic. First of all, as a reminder, you cannot purchase a postage meter. But you can buy the mailing machine. The device that is inside the machine is called a Postal Security Device (PSD). If you purchase the machine, but eventually terminate your service, then you must return the PSD, but you can keep the rest of the mailing machine. And it will be worthless. Here is the point I try to get across, lease or rent your postage meter or mailing machine. Technology changes too fast. I understand that some businesses prefer to always purchase equipment. But in this case, you will be stuck with equipment that has no value and most places end up sticking in a corner or on a shelf for years because they paid for it and they own it, and they do not want to drop it in the dumpster. Then years later they end up finally throwing it away and they are still mad. Purchase address printers, folders, folder inserters, shredders, etc. if you do not like monthly payments. When you receive your mail, whether at home or at the office, do you ever look at the stamp? Do you look and see if it is a USPS forever stamp or a metered imprint? Do you notice if it is a printed indicia? I would assume, unless you are in the mailing industry (or a stamp collector-Do people still do that?), you do not pay attention to that. You just know the mail arrived and you either choose to open it, drop it the recycle bin, shred it, or add it to the ever-growing pile of mail you will maybe open someday. Why do I ask that? Because they are all perfectly acceptable ways to mail your mail. So how to decide why a big manufacturer vs. a local dealer representative, comes down to what is important to you. Is the deciding factor only the least expensive monthly rental? If that is your major criteria, then we may/may not be the least expensive. (Do people still demand the greatest service/quality at absolute cheapest price?) We currently service just under 900 meters in the DFW area. The 2 big manufacturers service thousands. If $2 to $3 more per month gets you better service, is it worth it? Would there be any value in having a person answer the phone and answer your question, or immediately have someone return your call with an answer? Would the ability to call or text your service question to a service technician be favorable to calling an 800 number and waiting your turn (“Please stay on the line. Your call is very important to us. You are the 12th person in the queue. Estimated wait time is…….”) If you have an issue or a question you can call the office, your service technician, or your salesperson. If for some reason you have trouble contacting one of them or getting a sufficient answer, then you can call the owner of the company. Last week a new customer texted his sales rep at 7:20 pm asking him if someone could help him figure out why his folder inserter was jamming. Postage Meter Discounts June 11, 2021 Postage Meter Do I receive discounts for using a postage meter? Yes! As of January 24, 2021, you receive about an 8% discount currently on first class mail. A $0.55 cent stamp only costs $0.51 through a postage meter. Also, the scale will weigh your outgoing mail, so you know if it is heavier than 1 oz. The additional ounce will cost you another $0.20. How many of us, if we are not sure how heavy an envelope is in our hand, will just throw another stamp on the envelope. Can you tell the difference between .9 oz. and 1.1 oz. without a scale? I know I could only guess. If you are mailing a piece that is .9 oz. and you decide to add an extra stamp to be sure it does not get returned, then you are spending a $1.10 (no meter=guesswork) instead of the $0.51 it would cost you with a meter. If you were correct that it was over an oz. you still paid $1.10 instead of $0.71. If this is happening 3-4 times a year, then that is probably not a big deal. If this is a common occurrence, then a postage meter would be a wise investment. If you are simply mailing #10 envelopes with one or two inserts, then you can safely assume that the letter weighs less than 1 oz., and you can set your meter to .51 and run them. But what if you have mixed mail? If you have 9 x 12 envelopes, postcards, 6 x9’s, #10 envelopes and they all have different amounts of inserts? You have options. How Much Does a Postage Meter Cost? April 27, 2021 Postage Meter Have you asked this question before? Are you frustrated that no one would tell you how much it costs for a postage meter without having you answer a series of questions first? I am going to attempt to explain this to you with as little industry jargon as possible. The challenge in answering this question is that it is not all that simple. Every postage meter manufacturer has many models. So, asking how much does a postage meter cost and expecting a number in return is like asking how much does a house cost? Or how much does a car cost? Too many variables, right? A postage meter is no different, but a lot less variations than a house or car. There are 2 basic categories, and both have some options. To keep it simple the options are semi-automatic (or sometimes called a hand feed machine), or an automatic feed unit. The price range on a semi-automatic model is between $20 and $100 per month. The least expensive postage meter is going to run you about $20.00 per month for a rental. For that $20.00 you usually get a 5 lb. scale and the ability to load postage directly into your machine. You will need to buy ink for the machine. This cost varies by manufacturer. Please remember to ask what the expected yield for the ink cartridge is. One manufacturer charges $110 for a cartridge that will get you about 2,000 impressions. Another charges “only” $75.00 for ink that will get you between 400-800 impressions. Also, some ink has a “time out” feature. That means that your ink is only good for a certain time frame starting with installation. Some are 3 or 4 months. Some are a year. Some, luckily, do not have this “feature’ and you get to you all the ink you paid for as long as it does not sit so long that it dries up. But we can show you here how to get the dried-up cartridges running again. More features mean a few more dollars per month. Examples of features are: Faster cycle speeds, a larger scale, and additional accounting capabilities The range on an automatic machine starts at about $150/mo. and up ($500/mo. for the larger, faster machines). For the $150/mo. price you should expect an automatic feeder that feeds at least 45 letter per minute, a 5 lb. scale, and a few cost accounts.
